Terms and Conditions for Drivers and Operators

These Terms and Conditions (“Agreement”) govern the relationship between Long Distance Taxis (LDT) and all drivers and operators (including fleet owners, sub-contractors, and associated taxi firms) who register to provide services through the LDT platform.

By joining Long Distance Taxis, you agree to abide by the following rules, responsibilities, and conditions.

1. Licensing and Compliance
  • All drivers must hold a valid taxi or private hire licence issued by their relevant local authority.
  • All vehicles must be licensed, insured, and roadworthy, with valid MOT and tax.
  • All operators must hold a valid operator licence issued by their relevant local authority.
  • Copies of all documents (driver licence, insurance, operator licence, MOT, vehicle registration) must be provided to LDT and kept up to date.
  • Any lapse in licensing or insurance will result in immediate suspension until resolved.
2. Information Collection and Use

We collect and process driver and operator details to ensure compliance and passenger safety.

  • Personal data: Name, address, contact details, banking information.
  • Vehicle data: Registration, insurance, MOT, licence documents.
  • Operator data: Operator licence, business details, fleet insurance.
  • Sharing with passengers: Once a booking is accepted, the passenger will receive the driver’s name, vehicle details, and photo for identification.

LDT complies with GDPR. Personal data is never sold or used for unauthorised purposes.

3. Joining Fee
  • A joining fee of £150 is payable by each driver or operator upon registration.
  • The joining fee is refundable after 6 months if no paid booking has been received during that period.
  • If at least one paid booking has been received, the joining fee is non-refundable.
  • Refunds must be requested in writing within 30 days after the 6-month period. Approved refunds are processed within 20 working days.
4. Payments and Billing
  • LDT deducts a 10% commission from all completed bookings.
  • Commission rates may be adjusted by LDT with prior notice via email.
  • Drivers and operators are paid monthly, subject to LDT receiving full payment from passengers.
  • No payment will be made for journeys where the fare has not been received by LDT.
  • Payments must be made only through the LDT system. Drivers must not request or accept direct payments from passengers unless specifically instructed by LDT.
5. Branding and Representation
  • Drivers and operators must not display signs, stickers, or branding from other taxi companies on vehicles when undertaking LDT bookings.
  • Misrepresentation of affiliation with LDT or misleading passengers regarding which company they have booked with is strictly prohibited.
  • Drivers must not distribute personal business cards, flyers, or contact details to LDT passengers unless authorised in writing.
6. Working with Long Distance Taxis
  • Operators and drivers may work with other taxi companies, but when completing an LDT booking, the booking must be fulfilled strictly under LDT standards and conditions.
  • Drivers and operators must not attempt to divert LDT customers to other services.
  • Sub-contracting jobs to third parties is only permitted with prior written approval from LDT.
7. Passenger Privacy
  • Passenger details must only be used for completing the assigned booking.
  • Storing, copying, or misusing passenger data is strictly prohibited.
  • Unauthorised contact with passengers outside the scope of a booking is not permitted.
  • Any breach of passenger privacy may result in termination and potential legal action.
8. Cancellations and Refunds
  • Cancelling a booking more than 4 hours before pick-up: no penalties.
  • Cancelling a booking less than 4 hours before pick-up: deductions apply.
  • Once a booking is accepted, cancellation is not permitted except in emergencies.
  • If a driver delays pick-up by more than 10 minutes without valid reason, deductions may apply.
  • Operators are responsible for ensuring replacement drivers are available if a booking cannot be fulfilled.
9. Insurance and Safety
  • All vehicles must be covered by Hire & Reward insurance.
  • Operators must ensure all fleet drivers hold valid insurance and licences.
  • Vehicles must be roadworthy, clean, and smoke-free.
  • Drivers must not work under the influence of drugs, alcohol, or any condition affecting safety.
  • Operators are responsible for monitoring compliance of any sub-contracted drivers working under their account.
10. Complaints, Incidents, and Reporting
  • Drivers must report any passenger complaints made directly to them or to the company within 72 hours.
  • Drivers must also report any accidents, disputes, or significant delays within 72 hours of the incident.
  • Operators must ensure that complaints and disputes relating to their fleet are communicated to LDT management within 72 hours.
  • Failure to report incidents in the required timeframe may result in disciplinary action, deposit deductions, or account suspension.
11. Conduct and Service Standards
  • Drivers and operators must provide a professional, safe, and respectful service at all times.
  • Vehicles must be kept clean, tidy, and presentable inside and out.
  • Drivers must dress appropriately and professionally.
  • Harassment, discrimination, or aggressive behaviour towards passengers or staff will not be tolerated.
  • Repeated complaints or service failures may result in termination.
12. Termination of Agreement

By the Driver/Operator
You may terminate your agreement by giving 30 days’ written notice to LDT.

By LDT
We may suspend or terminate accounts immediately if:

  • Drivers or operators breach these Terms
  • Passenger data is misused
  • Fraud, dishonesty, or misconduct occurs
  • Required licences or insurance expire or become invalid
  • Complaints, disputes, or accidents are not reported within the required timeframe
  • Service standards are repeatedly not met
  • LDT’s reputation is harmed

LDT reserves the right to withhold outstanding payments in cases of misconduct.

14. Updates to These Terms

LDT reserves the right to amend these Terms at any time. Updates will be sent by email. Continued use of the platform constitutes acceptance of the revised Terms.
