General Terms and Conditions

These Terms and Conditions ("Agreement") constitute the entire agreement governing the provision of services by Long Distance Taxis ("LDT", "Company", "we", "us", "our"). By booking or utilising our services through any means, including online platforms, telephone, or third-party agents, you ("Customer", "Passenger", "you") expressly agree to be bound by these terms and conditions.

1. Definitions

For the purposes of these terms and conditions, the following definitions shall apply:

  • 1.1 "Agreed pick-up point" means the designated location where passenger collection shall occur as specified in the booking confirmation.
  • 1.2 "Agreed time" means the scheduled date and time for passenger collection as confirmed in the booking.
  • 1.3 "Booking" means the reservation of the Company's transportation services, which may encompass single journeys, return trips, or multiple-leg journeys.
  • 1.4 "Card" means any debit, charge, or credit card utilised for payment processing.
  • 1.5 "Cash" refers to monetary payment made directly to the Company or driver.
  • 1.6 "Details" refers to information provided by the Customer when making a reservation.
  • 1.7 "Fare" means the fee payable for the accepted quotation.
  • 1.8 "Goods" refers to any property present in the vehicle during transit.
  • 1.9 "Journey" or "Trip" means transportation from the agreed pick-up point to the designated destination.
  • 1.10 "Licensing authority" refers to regional or national bodies responsible for licensing transportation operators.
  • 1.11 "Particular requirements" refers to specific needs regarding driver characteristics, accessibility features, or other special requests.
  • 1.12 "Passenger" means any person travelling in the vehicle excluding the driver.
  • 1.13 "Personal data" encompasses all information provided during the booking process, including contact details and payment information.
  • 1.14 "Quote" refers to the fixed price provided for the requested journey.
2. Acceptance of Terms and Platform Usage
  • 2.1 Any person booking transportation services agrees to be bound by these terms and conditions. This includes electronic acceptance via checkbox confirmation. Persons making bookings on behalf of third parties represent that they possess the requisite authority to accept these terms on behalf of such individuals.
  • 2.2 You warrant that you are at least eighteen (18) years of age and legally competent to enter into this agreement.
  • 2.3 Persons making bookings must provide accurate information and assume responsibility for issues arising from inaccurate data.
  • 2.4 We provide no guarantee that specific requirements will be accommodated and reserve the right to decline bookings. We may cancel bookings and provide full or partial refunds at our discretion.
  • 2.5 This website employs cookies to enhance user experience and track browsing behaviour. Cookies do not contain personally identifiable information. Users may configure browsers to reject cookies, though this may limit platform functionality.
3. Vehicle Selection and Booking Process
  • 3.1 The Customer bears sole responsibility for ensuring that the appropriate vehicle type is reserved to accommodate the requisite number of passengers and luggage. Where an unsuitable vehicle has been booked due to Customer error, additional charges may be levied or the booking may be declined at LDT's discretion.
  • 3.2 Upon submission of journey details, we endeavour to provide quotations that meet your specified requirements.
  • 3.3 Bookings constitute offers that may be accepted or declined, and confirmation occurs only upon display of the confirmation screen or receipt of written confirmation.
  • 3.4 All bookings are subject to these terms and conditions.
  • 3.5 No guarantee is provided regarding accommodation of special requirements. Customers with particular needs are advised to make alternative arrangements.
  • 3.6 We reserve the right to correct typographical errors, including pricing mistakes. Upon identification of errors, customers shall be notified and may withdraw their booking for a full refund.
  • 3.7 The Company may transfer contractual obligations to third parties to ensure service fulfilment.
4. Booking Confirmation
  • 4.1 Written confirmation shall be transmitted via email and/or SMS text message where valid contact information has been provided.
  • 4.2 Confirmation procedures apply to all reservations made through online platforms, telephonic communication, or authorised third-party agents.
  • 4.3 The Company may provide booking status updates via email and SMS. No guarantee is made regarding timing or delivery of such communications.
5. Child Restraint Systems
  • 5.1 Child safety seats may be provided without additional charge when requested at the time of booking.
  • 5.2 Customers assume full responsibility for ensuring the appropriate child restraint system is requested and properly installed.
6. Payment Terms and Billing
  • 6.1 Payment may be remitted online via debit or credit card, or in cash where pre-arranged.
  • 6.2 Card payment bookings require immediate payment upon reservation. Cash payment bookings are settled directly with the driver.
  • 6.3 Vehicle dispatch is contingent upon clearance of all funds.
  • 6.4 Declined card payments shall result in booking cancellation.
  • 6.5 All fares are inclusive of applicable taxes. Tariffs are subject to modification without prior notice.
  • 6.6 Payment excludes additional services such as child seats unless pre-arranged. Unnotified additional luggage requiring vehicle upgrades may incur supplementary charges payable immediately.
  • 6.7 Driver gratuities are at customer discretion.
  • 6.8 Route deviations from the originally specified journey may incur additional fees.
7. Waiting Time Charges
  • 7.1 Airports and cruise terminals: One (1) hour complimentary waiting time from scheduled arrival time. Subsequent waiting time is charged at £0.35 per minute. Flight delays beyond scheduled arrival time incur no additional charges.
  • 7.2 All other locations: Five (5) minutes complimentary waiting time, thereafter £0.25 per minute applies.
8. Additional Passengers and Services
  • 8.1 Additional passengers or luggage exceeding the original booking specifications must receive prior written approval from LDT.
  • 8.2 Each additional passenger may incur a surcharge equivalent to fifty percent (50%) of the standard journey fare.
  • 8.3 Supplementary stops shall be charged at £3.00 per mile, subject to a minimum charge of £5.00 per deviation.
9. Hourly Service Bookings
  • 9.1 Vehicles shall remain stationed at the designated pick-up location for the duration of the booked period.
  • 9.2 Service extensions require prior agreement with LDT and shall incur additional charges as specified.
10. Additional Charges and Liabilities
  • 10.1 Supplementary charges may apply for extended waiting time, parking fees, or vehicle upgrades.
  • 10.2 Customers shall be liable for any damage caused to vehicles during the service period.
  • 10.3 Vehicle soiling charges commence at £30.00 and shall reflect the full cost of professional valeting services.
  • 10.4 Enhanced tariffs apply during bank holidays, including 24th, 25th, and 26th December, and 31st December through 1st January. Premium rates shall be confirmed at the time of booking.
11. Health and Safety Requirements
  • 11.1 The consumption of food, beverages, and tobacco products is strictly prohibited within all LDT vehicles.
  • 11.2 All passengers must comply with statutory seatbelt requirements at all times during transit.
  • 11.3 Passengers must not engage in conduct that endangers themselves, the driver, or other parties.
  • 11.4 Alcohol consumption during transit is strictly prohibited.
  • 11.5 The Company reserves the right to refuse service to passengers under the influence of drugs or alcohol.
  • 11.6 The Company reserves the right to terminate bookings or journeys where passenger conduct affects safety. No liability is accepted for additional costs incurred due to service termination.
12. Cancellation Policy
  • 12.1 Customers retain the right to cancel confirmed bookings.
  • 12.2 Bookings may be cancelled via online portal, telephone, email communication, or mobile application.
  • 12.3 Cancellation charges:
    Refunds depend on how far in advance you cancel:
    • More than 10 days before the journey date
      o 100% refund, minus admin fee.
    • 5–10 days before the journey date
      o 75% refund.
    • 3–5 days before the journey date
      o 50% refund.
    • Within 24 hours of the journey date
      o No refund.
    • Special bookings (weddings, events, filming, photoshoots)
      o 50% refund only.
      o This covers costs such as decorations, branding removal, and vehicle modifications.
    • Where the driver arrives more than ten (10) minutes after the scheduled time: No cancellation fee applies
  • 12.4 For cash bookings, outstanding fares remain invoiceable to the Customer.
  • 12.5 Passenger absence from the pick-up location fifteen (15) minutes after scheduled time shall constitute grounds for booking cancellation without refund.
13. Refund Policy
  • 13.1 Refunds shall be issued when:
    • A booking is cancelled more than four (4) hours prior to scheduled pick-up time
    • A pre-paid journey is cancelled, subject to a £10.00 administration fee
    • Suppliers fail to arrive within fifteen (15) minutes of scheduled pick-up time (thirty minutes for airport locations)
  • 13.2 Refunds shall not be issued where:
    • The booking contained erroneous information (including but not limited to incorrect dates or flight numbers)
    • The passenger departs the designated pick-up point without notifying LDT
    • The journey is terminated prematurely at the passenger's request
    • Cancellations are made less than four (4) hours before scheduled pick-up
  • 13.3 All approved refunds shall be processed within ten (10) business days to the original payment method.
  • 13.4 Where the vehicle arrives late but the journey is completed, no refund shall be available.
14. Missed Flight Policy
  • 14.1 Customers must notify LDT immediately upon missing their scheduled flight.
  • 14.2 Where timely notification is provided, bookings may be cancelled with only the £10.00 administration fee payable.
  • 14.3 Failure to provide notification shall result in full fare charges.
  • 14.4 Rebooking for subsequent flights may be accommodated without additional cost, subject to availability.
15. No-Show Policy
  • 15.1 A "no-show" constitutes failure by the passenger to meet the assigned driver without prior notification to LDT.
  • 15.2 At airports, drivers shall wait up to one (1) hour from actual landing time. Thereafter, drivers may depart and no refund shall be issued.
  • 15.3 At other locations, drivers shall wait fifteen (15) minutes after scheduled pick-up time before departing.
16. Route Selection and Journey Management
  • 16.1 Drivers shall utilise the most appropriate route based on prevailing traffic and road conditions at the time of travel.
  • 16.2 Route deviations necessitated by accidents, adverse weather conditions, or police directives shall not result in additional charges.
  • 16.3 Customers should allow adequate time for airline or rail check-in procedures.
  • 16.4 All stated journey times and arrival estimates are indicative only. Customers are responsible for arranging adequate time margins.
17. Lost Property
  • 17.1 Lost items shall be handled in accordance with the regulations of the driver's local licensing authority.
  • 17.2 Customers should contact LDT promptly to report any lost property.
18. Service Limitations and Exclusions
  • 18.1 The Company shall not transport:
    • Jewellery, furs, valuables, money, securities, or items exceeding £50 in intrinsic value
    • Items that are illegal to possess or of dangerous, hazardous, flammable, explosive, or noxious nature
    • Perishable items that may deteriorate during transit
  • 18.2 The Company does not provide insurance coverage for loss or damage to personal property during transit. Customers are responsible for insuring their belongings.
19. Limitation of Liability and Warranties
  • 19.1 The Company maintains appropriate licenses from relevant licensing authorities. Verification may be obtained by contacting LDT directly.
  • 19.2 LDT accepts no liability for missed flights, trains, or scheduled events due to delays caused by weather conditions, traffic congestion, accidents, road closures, or incorrect booking information.
  • 19.3 LDT shall not be responsible for consequential, indirect losses, or loss of revenue resulting from service delays or failures.
  • 19.4 The Company accepts no liability for delays in pick-up or drop-off, service failures, or failure to meet customer expectations beyond the specific remedies provided in these terms.
  • 19.5 The Company accepts no liability for loss or damage to transported items.
  • 19.6 Without prejudice to the above, the Company shall not be liable for:
    • Damage, loss, or breakage of fragile items
    • Customer acts or omissions
    • Vehicle breakdowns, accidents, or adverse weather conditions
    • Circumstances beyond the Company's control, including industrial action, labor disputes, governmental regulations, natural disasters, legal restrictions, civil unrest, acts of war, terrorism, or force majeure events
  • 19.7 Total Company liability for any claim is limited to £500.
  • 19.8 Nothing in these terms excludes consumer rights under applicable legislation or limits liability for death or personal injury caused by negligence.
  • 19.9 The Company accepts no liability for losses arising from delayed or failed booking notifications or communications.
20. Force Majeure and Exceptional Circumstances
  • 20.1 Where a driver cannot be located, customers must contact LDT immediately.
  • 20.2 In the event a reserved vehicle becomes unavailable, LDT may provide the nearest suitable alternative.
  • 20.3 LDT reserves the right to cancel bookings due to extraordinary circumstances. Any pre-paid fare shall be refunded in full.
21. Licensing and Compliance
  • 21.1 All LDT drivers and vehicles maintain current licenses issued by their respective local licensing authorities.
22. Dispute Resolution
  • 22.1 Customer complaints should be directed to the Company via telephone or email within twenty-four (24) hours of the incident.
  • 22.2 Claims must be pursued directly against LDT in the first instance.
23. Data Protection and Privacy
  • 23.1 The Company shall maintain confidentiality of all personal data collected during the booking process in accordance with applicable data protection legislation.
  • 23.2 Information shall not be shared with third parties without express customer consent, except as required by law.
  • 23.3 Privacy policy amendments shall be published on our platform, and users are advised to review terms regularly.
  • 23.4 Usage data relating to platform interaction may be recorded for operational purposes.
24. General Provisions
  • 24.1 These terms constitute the entire agreement between the parties and supersede all prior agreements, representations, or understandings.
  • 24.2 Failure to enforce any provision shall not constitute a waiver of such provision or right.
  • 24.3 Each clause and sub-clause constitutes a separate and severable provision that shall remain effective notwithstanding completion, termination, or invalidity of other terms.
  • 24.4 Confirmed bookings cannot be modified except as expressly provided in these terms.
  • 24.5 These terms are governed by English law and subject to the exclusive jurisdiction of English courts.
