How to open a personal/business account?

  • From the drop-down of Passenger's Area, click For Personal Account or Business Account.
  • Click open personal account or open business account.
  • You will fill the form and tick on GDPR rules and regulations then click submit button.
  • As you will be registered in the system, you will receive account registration notification for your email confirmation.
  • Click the link sent on the email to activate your account.
  • Login with your credentials.
  • Then, you can enjoy your journey with us.


How to book your journey?

  • Please enter pick up and drop off location, capacity (no. of passengers, luggage, hand luggage and the baby seat), type of journey (one way or return), pick up date and time then click gets a quote now.
  • List of the fleet will be displayed. Select one of the fleet.
  • You can continue the process either through signing with your account, continue with a new account or continue without the account.
  • Enter personal details form then click submit and continue button.
  • If you want to view details then click view details. Select your payment type.
  • You will see personal details and payment information. Then, you will get booking received notification through email and SMS.
  • After a driver has been confirmed, you will get booking confirmed notification through email and SMS along with driver and journey details.
  • After receiving your quote, you may make a payment, save the booking or reject it.

Terms & Conditions

The terms and conditions set out herein shall apply between Long Distance Taxis and the party who uses Long Distance Taxis Services.

1. Vehicle Type

It is the passenger's responsibility to ensure that they order the correct type of vehicle in order to carry the numbers of passengers and luggage.

2. Health and safety

Eating and smoking aren’t allowed in Long Distance Taxis.

3. Booking Confirmation

We will send e-mail and SMS confirmations to all of our passengers, provided they have included a valid e-mail address and phone numbers with their booking. This will include phone bookings as well as web bookings.

4. Child Seats

We may provide child seats free of charge if they are requested by passengers.

5. Billing

Long Distance Taxis accept cash in the Taxi or Credit/Debit Cards Online at or by contacting Long Distance Taxi admin team. A taxi will be provided only if the funds have been cleared. All published rates are subject to change without notice. Applicable taxes will be charged as required.

6. Waiting Time Charges

All pickups from the airports and cruise ports are allowed 1-hour free waiting time from landing time. Any further waiting time will be charged at 35p per minute. Flight delays are not charged.

Pickups from other addresses and venues are allowed 5 minutes from the actually booked time, thereafter 25p per minute will be added to the fare quoted.

7. Additional Passengers and Luggage

Long Distance Taxis may allow additional passengers and luggage may be added with the permission of Long Distance Taxis Admin team to the car ordered without the numbers of seats allowed. Each additional passenger will be charged half of the fare of the same journey.

8. Additional Drop offs and Pickups

Additional drop-offs and pickups will be charged per £3 per mile with a minimum fee of £5.00 per diversion.

9. Hourly Waiting Time

For hourly bookings, Long Distance Taxis will remain at the agreed pickup location until the hours booked have expired. To extend the time booked, the passenger must inform the Long Distance Taxis.

10. Additional charges

Your booking may be subject to additional charges; e.g. excess waiting time and additional car park charges. 

If at the time of collection you wish to switch a car (e.g. large ca) required a space for extra luggage, additional charges will be applied which may be at a higher rate than those previously quoted.

Passengers are responsible for any damage they cause to the interior and/or exterior of a vehicle and will be billed accordingly for any such repair or valeting required for repairing the vehicle to full working order.

Soiling charges will equal the cost of a full interior valet. A charge of a minimum of £30.00 will apply depending on the severity of the fouling. Bank Holidays fares are subject to an increase in fares which will be outlined when the journey is quoted.

11. Booking Cancellations

a) Long Distance Taxi allows you to cancel a booking:

  • Online using the 'Cancel tab' on your dashboard.
    • By calling or emailing our dedicated Customer Service Team.

b) Cancellation charges

  • For card booking: A fee of £10.00 will be deducted for any pre-paid booking that has been cancelled.
  • If cancellation is made in less than 4 hours before pick-up, the full fare will apply and will not be refunded.
  • For cash fare, an invoice to pay the fare will be sent to the passenger.
  • If the cancellation is made more than 4 hours before pick up, the full fare will be refunded to the passenger.
  • If the booking is rescheduled either before or after, the fare may be recalculated and again a revised email will be sent to the client.
  • A cancellation fee will not be applicable to a passenger if the driver was delayed by more than 10 minutes.

Any changes about booking should be notified to Long Distance Taxis as soon as possible.

12. Refunds

Refunds will be issued in the following cases:

  • Any paid journey you wish to cancel in advance will be given a refund, provided the cancellation is more than 4 hours before pick up.
  • If the journey is being cancelled 4 hours less than the pickup time, a charge of full fare will apply.
  • All cancellations are subject to minimum fee of £10.00
  • Refunds will be paid within 10 days to the card used for original payment.

If you believe a refund is due then please send an email to with the booking details and the reasons for a refund.

A confirmation email will be sent once the refund has been processed.

No refunds will be issued for the following:

  • Any cancellations made later than 4 hours.
  • If the passenger books the taxi for a wrong date, wrong flight number and other misleading information.
  • If the passenger leaves the pick-up point without informing us for any reason whatsoever.
  • If the journey is terminated partway through the hire.

13. Missed Flights

If the passenger missed a flight, Long Distance Taxis must be informed immediately so that we will notify the driver not to enter the airport for that pickup. If the passenger fails to notify the driver about a missed flight, the fare will not be refunded.

If the journey was pre-paid it will be refunded after deducting £10.00 for bank charges. However, if the passenger wishes to take a later flight we will provide the service at no extra cost.

14. No Show

No show is when a passenger book a taxi with us and failed to meet the driver on pick up time.

At the airport, the driver will wait in the arrival hall for a maximum of 1 hour from flight landing time. After one hour without meeting the passenger, the driver leaves the airport and no refund will be provided to the passenger.

15. Routes

Our drivers will travel by the most appropriate route on the day unless instructed otherwise by the client at the time of booking or on collection.

We will ensure driving time and distance shown on booking are followed. The passenger will not be charged for extra time when diversions might be necessary in case of road works, bad weather conditions, accident, breakdowns, police stop and search, terrorist threat, health condition, and any other circumstances.  Passengers are advised to respect the time required for airline check-in.

16. Lost Property

Lost property is dealt with by each driver according to the rules of their Licensing Local Authorities.      

17. Liabilities

  • Long Distance Taxis are not responsible for any financial loss, late arrivals, missed flights or trains, due to late pick-up caused by bad weather, traffic conditions, or road traffic accidents or road closures, or wrong booking information.
  • Any change in your arrival time should be communicated to the Admin Team as soon as you know. Failure to notify may result in extra waiting time and charges.
  • We will provide advice on journey times but we cannot be held responsible for delays caused by circumstances out of our control, these include (but are not exclusive to), missed flight connections, unpredictable traffic hold-ups, adverse weather conditions and strike action.
  • Changes or variations to the original booking may result in extra charges being applied to your final invoice
  • We reserve the right to refuse travel to anyone causing damage to our vehicles or deemed to be a nuisance or danger to our drivers, staff or other passengers.
  • We reserve the right to refuse to carry any passenger(s) who is thought to be under the influence of drugs or alcohol, whose behaviour poses a threat or risk to the driver or other passengers.
  • We may seek the help of the police to remove any offenders from our vehicles. No compensation or refund will be paid in such circumstances.

18. Special Fares

Our prices are higher on bank holidays. Please ask for more information, including 24th, 25th, 26th, 31st December and 1st January. This is due to limited drivers available for work during seasonal periods.

19. Exceptional Situations

  • When you cannot locate the driver at airports, please call us immediately.

·        Long Distance Taxis also reserve the right to cancel bookings. Any charges already paid shall be refunded in this case.             Long Distance Taxis will not be liable to any claim for damages or additional claims.

·       If an inevitable event occurs such as a breakdown of the vehicle, Long Distance Taxis reserve the right to use the next best replacement vehicle.

20. Licensing

All drivers are fully licensed within their own local authority.

Waiting Time

Waiting time elapses between a scheduled pickup and a passenger getting into the booked vehicle.

Wait Time - Point-to-Point Transfer

Long Distance Taxis allow you to spend 5 minute waiting time without charges.

After the first 5 minutes, additional waiting time will be charged at a per-minute rate of 25 p  per minute. The passenger must Long Distance Taxis or the driver to request waiting.

Wait Time - Airport Transfer

At airports, 60 minutes free of  waiting time is offered for each booking.

This means you have 60 minutes to get to your vehicle once you receive the text message notification of the arrival of your driver. After the advertised amount of minutes of waiting time, additional waiting time will be charged at a per-minute rate of 35 cents GBP per minute, plus applicable tax.

No extra costs will be charged for any changes in the travel time due to the late departure or arrival. However, the passenger must contact Long Distance Taxis about any flight delay.

Extra Time

Any extra time during the ride (e.g. via point) shall be subject as additional waiting time.

Hourly Waiting Time

For hourly bookings the Long Distance Taxis will remain at the agreed pickup location until the hours booked have expired. To extend the time booked, the passenger must inform the Long Distance Taxis.

General Data Protection Regulation

The EU General Data Protection Regulation (“GDPR”) comes into force across the European Union on 25th May 2018 and brings with it the most significant changes to data protection law in two decades. As we value the privacy and personal information of our client, we are working to be fully compliant with the GDPR.

Long Distance Taxis are committed and value the security and protection of the personal information that we process, and to provide a compliant and consistent approach to data protection.

We have always had a robust and effective data protection program in place which complies with existing law and abides by the data protection principles. However, we recognize our obligations in updating and expanding this program to meet the demands of the GDPR.

As a user

  • You have the right to request an explanation of the information that Long Distance Taxis has about you and how Long Distance uses that information.
  • You also have the right to receive a copy of the information that Long Distance Taxis collects and holds about you.
  • Customers pay airport charges when these charges are not included in agreed fare or have not been taken into account in online booking.


b. Correction deletion

  • If you believe the information about you is inaccurate, you have the right to request corrections.
  • You may request us to delete your account and information about you at any time.

c. Data Retention & Erasure


Users may request deletion of their accounts at any time. The personal information is stored, archived and destroyed compliantly and ethically upon your request. We have dedicated erasure procedures in place to meet the new ‘Right to Erasure’ obligation and are aware of when this and other data subject’s rights apply; along with any exemptions, response timeframes and notification responsibilities.


d. Objections and complaints

You have the right to object to Long Distance Taxis processing personal data for marketing purpose and unsubscribe from all subsequent marketing materials.


e. How we use the information collected

  • User information is required in order to communicate about the booking confirmation, invoice other related queries.
  • User information may be required legal purposes and crime prevention and investigations.

Most of the personal data we collect is provided freely by you when filling any forms on Long Distance Taxis website or by corresponding with us by phone, e-mail or otherwise.

An example of a form is the taxi booking form: when you submit your name, your email address and the details of your journey.
If you do not wish us to collect and process this type of data, please do not submit it when using our services.

Some of the personal data we collect and a process is done with your consent. For example, we rely on consent when we send you a marketing email if your email subscription preferences indicate you are willing to receive such emails. You have the right to withdraw consent at any time.

Long Distance Taxis may process your data to comply with our legal and regulatory obligations e.g. preventing, investigating crime or working with law enforcement agencies.

Long Distance Taxis may share your data with our drivers, customers and partners for taxi booking related matters including payments and details of journeys.

Drivers and passengers can delete and update the records we hold them on our website.

Long Distance Taxis do not share information about passengers and drivers to third parties.

Long Distance Taxis is strictly restricted to those customers who have a need to access the information for our business purposes. This includes business partners, suppliers and sub-contractors for the performance of any contract we may enter into with them or you. 
We will also disclose your personal information to third parties if we are under a duty to disclose or share your personal data in order to comply with any legal obligation, or in order to enforce or apply the Long Distance Taxis Website's terms of use, or to protect the rights, property, or safety of us, our customers, or others.
Long Distance Taxis website may, from time to time, contain links to and from the websites of our partner networks, advertisers and affiliates.

If you follow a link to any of these websites, please note that these websites have their own privacy policies and that we do not accept any responsibility or liability for these policies. Please check these policies before you submit any personal data to these websites.

Your data is securely stored using access controls and encrypted passwords. Long Distance Taxis also use analytics and search engine providers that assist us in the improvement and optimization of Long Distance Taxis website.
Drivers, partners and passengers can delete and update the records we hold them on our website. We do not share information about Drivers, partners and passengers to third parties.

We will regularly review our retention of your personal data and delete any personal data which is not necessary for us to retain.
If you request to delete your data, then the data will stop being retained and deleted or anonymized immediately.

Unfortunately, the transmission of information via the Internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to Long Distance Taxis; any transmission is at your own risk.

Once we have received your information, we will use strict procedures and security features to try to prevent unauthorized access.

You have the right to ask us not to process your personal data for marketing purposes. We will usually inform you (before collecting your data) if we intend to use your data for such purposes or if we intend to disclose your information to any third party for such purposes.
